How to write a cover letter for your visa application

A good cover letter is short, factual and consistent with every other document in your file. It explains; it does not plead.

Many consulates, especially Schengen countries, ask for a cover letter. Even when it is optional, a clear letter helps the officer understand your trip in one page. It should introduce you, explain the trip and point to the documents that prove what you say.

What to include

  • Your details: full name as in your passport, passport number, CNIC number and contact email.
  • Purpose of travel: tourism, family visit, business meeting or event, in one or two sentences.
  • Dates and route: arrival and departure dates and the cities you will visit, matching your itinerary and bookings.
  • Who pays: yourself or a named sponsor, and the documents that show it.
  • Your ties to Pakistan: your job or business, family, studies or property, and the date you are expected back at work.
  • Travel history: previous visas and trips, if any.
  • Anything that needs explaining: a recent large deposit, a previous refusal, a gap in employment.
  • List of enclosed documents.

A simple structure

  1. Address it to the consulate or embassy's visa section, with the date and a one-line subject such as "Application for a short-stay (Schengen) tourist visa".
  2. Introduce yourself and the purpose of your trip.
  3. Describe the trip: dates, cities, accommodation.
  4. Explain how the trip is funded.
  5. Explain your commitments in Pakistan and your return.
  6. Address anything unusual, briefly and honestly.
  7. List the enclosed documents and sign.

Mistakes to avoid

  • Using a template from the internet word for word. Officers see the same letters every day.
  • Emotional appeals or long life stories. Keep it to one page if you can.
  • Dates, amounts or names that differ from your form, bookings or bank statement.
  • Claims you cannot prove with a document.
  • Promising things that are not up to you, such as "I guarantee I will return". State your actual reasons to return instead.

Employer letter (NOC) versus cover letter

The cover letter is written by you. The NOC or employment letter is written by your employer on company letterhead and confirms your position, salary, leave dates and that your job continues after the trip. Both should give the same dates.

Roman Urdu mein khulasa

Visa cover letter ek safhe ka seedha khat hai: aap kaun hain, safar ka maqsad, tareekhein, kharcha kaun uthayega aur aap Pakistan wapas kyun ayenge. Internet ka template copy na karein aur har tareekh documents se match karein.
